The power of automation at your fingertips

Sales tax management has evolved dramatically from the days of manual research through tax law binders. With complex regulations across most US states, businesses now rely on automation, such as sales tax software, for accuracy and efficiency. Modern automated solutions provide instant tax rates (tax calc) and seamless accounting system integration, transforming how companies handle their compliance.

The critical role of proper setup in sales tax automation

While sales tax automation software offers powerful capabilities, its effectiveness ultimately depends on proper setup and maintenance. Simply implementing automation tools without expert configuration isn’t enough to ensure compliance. Some common setup pitfalls include the following:

  • Incorrect nexus settings leading to missed filing obligations
  • Improper product taxability classifications
  • Outdated tax rates and rules
  • Missed jurisdiction-specific exemptions
  • Incomplete integration with existing systems

Remember

Automation is only as reliable as its setup. Even the most sophisticated tax software can produce incorrect results if not properly configured and maintained.

The consultative advantage in automation

Our consultative approach helps clients achieve faster implementation times and higher user adoption rates compared to self-implemented solutions. Other key benefits include the following:

  • Strategic implementation planning based on thorough business analysis
  • Custom configuration aligned with industry-specific requirements
  • Ongoing optimization and compliance monitoring
  • Regular system reviews and improvement recommendations
  • Expert guidance throughout your automation journey

Who We Help: Sales Tax Automation & Software Integration:

If your business is selling across multiple states, you probably need sales tax automation software. Platforms like Avalara, TaxJar, Vertex, and Sovos exist for good reason: multi-state sales tax compliance involves thousands of rate combinations, constantly changing rules, and filing deadlines across dozens of jurisdictions. Trying to manage that manually doesn't scale. The software is a legitimate and necessary tool for most growing businesses.

But software has a ceiling. Understanding where that ceiling is -- and what falls outside it -- is what separates businesses that are genuinely compliant from businesses that think they are.

What automation software does well
Sales tax software handles the operational layer of compliance reliably. That includes:
Rate calculation at the point of sale, pulling the correct combined state, county, and local rates based on the ship-to address. Filing automation, preparing and submitting returns in registered states on the correct schedule. ERP and platform integrations, connecting your sales data to your compliance workflow so returns aren't built from manual exports. Exemption certificate storage, keeping certificates on file and applying them at checkout.

For a business with clean data, the right configuration, and a stable sales footprint, the software does its job well.

What no software does

Here's where the ceiling shows up.
Software doesn't tell you where you have nexus. It calculates tax in the states you've already registered in. Whether you should be registered in those states, and not others, and whether there are states missing from your list entirely -- that's a question no platform answers on its own. Nexus determination requires a human review of your physical presence, your sales volume by state, your marketplace channels, and your product mix.

Software doesn't advise on product taxability edge cases. Most platforms apply standard taxability rules reasonably well. But if you sell products that sit in gray areas -- software with a services component, food products with unusual ingredient classifications, bundled offerings that mix taxable and exempt items -- the platform will apply a rule, but it won't tell you whether that rule is the right one for your specific product in each state.

Software doesn't negotiate a voluntary disclosure agreement. If a nexus review surfaces past liability in states where you weren't registered, software has no role in resolving that. Coming forward proactively through a VDA process requires representation, negotiation, and state-by-state procedural knowledge.

And software doesn't show up when an auditor calls. If a state initiates an audit, your Avalara account is not your defense.

TSTP works alongside your software, not instead of it.
Avalara is the most common platform among TSTP's clients, and that's a useful illustration of how the relationship works. We don't replace Avalara. We do the work Avalara can't: nexus assessment, configuration review to make sure the platform is actually set up to match your obligations, audit defense when a state comes knocking, and ongoing advisory as your business changes.

One example: an eCommerce brand was running Avalara and assumed their compliance was handled. A review found they were filing in several states they no longer had nexus in and missing registration in others where they did. After moving to a filing setup matched to their actual footprint and complexity, they saved $54,000 per year in unnecessary filing costs and reduced their audit exposure at the same time.

The software was doing exactly what it was configured to do. The configuration was the problem.
